1. Overview

TransKeep ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have regarding your personal data when you use our service at transkeepai.com.

By using the Service, you agree to the practices described in this Privacy Policy.

2. Information We Collect

2.1 Account Information

When you register, we collect your email address, display name, and authentication credentials (or OAuth token if you sign in with Google). We use this information to identify your account and deliver the Service.

2.2 Files You Upload

When you submit a translation job, your PowerPoint (.PPTX) file is uploaded to our servers. The file is processed and the translated output is made available for download. Uploaded files and translated output files are automatically and permanently deleted from our servers within 24 hours of job completion. We do not retain file content beyond this window.

2.3 Usage and Technical Data

We automatically collect certain technical information when you use the Service:

  • IP address and approximate geographic location (country/region level)
  • Browser type, operating system, and device type
  • Pages visited, features used, and time spent on the Service
  • Translation job metadata (file size, language pair, credit usage, job status) — not file content
  • Error logs and performance data used for debugging and service improvement

2.4 Payment Information

We do not store your credit card number or full payment card details. All payment processing is handled by our authorized payment service provider, who collects and processes your payment information directly in accordance with PCI-DSS standards and their own privacy policy. We receive only a confirmation of successful transactions and associated billing metadata (plan type, amount, currency, and billing period).

For transparency: our current payment service provider is Paddle (paddle.com), who acts as our Merchant of Record and is responsible for billing, invoicing, and applicable tax collection. This may be subject to change; any update will be reflected in this policy.

3. How We Use Your Information

  • To create and manage your account
  • To process translation jobs and deliver results
  • To calculate and deduct credits from your balance
  • To send transactional emails (e.g., job completion notifications, billing receipts)
  • To provide customer support when you contact us
  • To analyze aggregate usage patterns and improve the Service
  • To detect and prevent fraud, abuse, or violations of our Terms of Service
  • To comply with applicable legal obligations

We do not use your personal data or file content to train any AI model operated by TransKeep or any of our service providers, except where explicitly authorized by you.

4. AI Translation Service Providers

TransKeep uses third-party large language model (LLM) providers to perform the actual text translation within your files. When you submit a translation job, extracted text content from your file is transmitted to one or more of the following providers:

  • OpenAI (ChatGPT / GPT models) — openai.com
  • Google (Gemini models) — deepmind.google / cloud.google.com

What is transmitted: Only the text content extracted from your presentation is sent to these providers for translation. Structural file data, layout information, and animation data remain on our servers and are not shared with AI providers.

Data handling by AI providers: Text submitted via API to OpenAI and Google is subject to their respective API data usage policies. As of the date of this policy, both OpenAI and Google state that data submitted through their API products is not used to train their models by default. However, you should review their current policies directly:

We recommend that users avoid submitting highly sensitive, confidential, or regulated personal data in PPTX files translated through TransKeep, as this content will be transmitted to third-party AI providers.

5. Analytics — Google Analytics

We use Google Analytics to understand how visitors interact with our website. Google Analytics collects data such as:

  • Pages visited and navigation paths
  • Session duration and bounce rate
  • Approximate geographic location (country/region)
  • Device type and browser information
  • Referral source (how you arrived at our site)

This data is collected using cookies and similar tracking technologies and is processed by Google in accordance with Google's Privacy Policy (policies.google.com/privacy). The data is used in aggregate form to improve our website and marketing effectiveness. We do not use Google Analytics to identify individual users by name or email address.

You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on available at tools.google.com/dlpage/gaoptout, or by using a browser with tracking protection features enabled.

6. Cookies and Tracking Technologies

We use the following types of cookies:

  • Essential cookies — required for authentication and session management. These cannot be disabled without breaking core functionality.
  • Analytics cookies — used by Google Analytics as described in Section 5. These can be opted out of.
  • Preference cookies — used to remember your language selection and UI preferences.

You can manage cookie preferences through your browser settings. Disabling essential cookies will prevent you from using authenticated features of the Service.

7. Data Sharing and Disclosure

We do not sell, rent, or trade your personal data to third parties. We share data only in the following circumstances:

  • AI translation providers (OpenAI, Google) — text content only, for translation purposes, as described in Section 4
  • Our payment service provider — payment processing, billing, invoicing, and tax compliance (see Section 2.4)
  • Google Analytics — aggregated usage analytics as described in Section 5
  • Cloud infrastructure providers — for hosting, storage, and job processing. These providers are contractually bound to protect your data.
  • Legal compliance — if required by law, court order, or to protect the rights and safety of TransKeep, our users, or the public

8. Data Retention

  • Uploaded PPTX files and translated output files: deleted within 24 hours of job completion
  • Account data (email, name, credit history): retained for the lifetime of your account and for up to 90 days after account deletion
  • Payment records and billing history: retained as required by applicable tax and financial regulations (typically 7 years)
  • Analytics data: retained according to Google Analytics data retention settings (default: 14 months)

9. Security

We implement industry-standard technical and organizational measures to protect your data, including:

  • HTTPS/TLS encryption for all data transmitted between your browser and our servers
  • Encrypted storage for files during the processing window
  • Access controls limiting who within our organization can access user data
  • Regular review of security practices

10. Your Rights (GDPR / CCPA)

Depending on your location, you may have the following rights regarding your personal data:

  • Right of access — request a copy of the personal data we hold about you

  • Right to data portability — receive your data in a structured, machine-readable format
  • Right to object — object to certain types of processing, including direct marketing
  • Right to restrict processing — request that we limit how we use your data in certain circumstances
  • California residents (CCPA) — the right to know, delete, and opt out of the sale of personal information (we do not sell personal information)
